Folder Builder
Build folders right on the item screen
The Folder Builder defines which folders appear on an item's screen and in what order. Folders are the tabs that split the item's content into groups — fields, attachments, tasks, flow, notes, and others — instead of showing everything on a single screen.
Building happens in the item view, the same screen where the member uses the folders. You assemble the folder bar while looking at the result, without going through the category settings.
The logic behind folders stays the same: the available types, the content each type displays, and the per-group access control do not change. What changes is where and how the bar is assembled.
Where to find it
The Folder Builder sits in two places, which share the same folder bar:
- Dedicated item screen — on the category card, click Items and access the record you want.
- Item side panel — in the items table, double-click the record's row to open the side panel.
The behavior is the same in both places, because the two screens use the same folder bar component. What you configure in one applies to the other.
Folder data
Each folder is defined by:
- Folder Name — the title shown on the tab.
- Folder Type — defines the content the tab displays. The types are the same ones described in View Folders.
- Icon — the icon that visually represents the tab.
- Allowed Groups — the member groups that can see the tab. With no group selected, the tab is visible to every member with access to the item.
Reorder folders
With an Owner or Full license, folder order is set by dragging and dropping: hold the folder and move it to the position you want, both on the visible bar and inside the menu that gathers the overflow folders. A folder dragged from the menu onto the bar takes the position you drop it in.
The change applies immediately, with no page reload.
Reordering and hiding folders is restricted to members with an Owner or Full license, and the arrangement they save replaces the bar every member sees. Make sure the sequence suits the category's general use before rearranging the bar.
Hide and restore a folder
Hiding removes the folder from the bar without deleting anything: the folder and all of its content remain, and the item is untouched. Use it to get a tab out of the way when it is not part of that category's daily routine.
Hidden folders are gathered in a dedicated section inside the folder menu, from which they can be brought back to the bar.
To remove a folder for good, delete it: that removes the tab from every item in the category. The data in the fields shown on the tab is not affected — only the visual organization changes.
The per-category path
There is a second path for configuring folders, under Settings > Structure > Categories > View Folders, which serves the previous version of the items screen.
Folders configured under View Folders appear only on the old items screen. They are not displayed on the new screen, which reads only the folders assembled by the Folder Builder. That path is legacy and will be discontinued. See View Folders for its details.
