Learn how to view, search, and export data from category items.

View and locate data from your categories

Querying items means accessing existing data within a category, whether for quick reading, detailed analysis, or locating specific records.


Quick view

In the items table, click the Actions dropdown of any item and select View. A sidebar will open on the right side of the screen with all item fields in read-only mode.

The quick view allows you to check information without leaving the table — useful for quick verifications.


Dedicated item screen

For a complete view, click Access in the Actions dropdown. The item will open in a full page, displaying:

  • Reference — the unique identifier of the item.
  • Creation information — date, time, and author.
  • View folders — tabs that organize fields into thematic groups configured in the category. To learn how to configure them, see View Folders.
  • Print — generates a printable version of the item data (available only on the dedicated screen).

Searching items

The items table provides several ways to locate records:

  • Text search — at the top of the table, the search field filters items by any visible text in the columns, including relationship fields.
  • Column filters — click the filter icon in each column to filter by specific values.
  • Date filter — in the upper right corner, filters items by creation date. To filter by other date fields, create a custom filter.
  • Sorting — click the sort button to define which field will guide the order of results.

Custom views

For frequent queries with the same filters and columns, you can save custom views. Click + New View at the top of the screen, configure the desired filters, columns, and sorting, and save. The view will be available as a tab for quick access.

Exporting data

To extract category data, click the Export button in the toolbar. Available options are:

  • Direct export — export the visible items in the table in Excel, CSV, or DBF format. The export respects active filters.
  • Standard Report — generates a report with all category fields in spreadsheet format.
