Create Items

Learn how to create new items within a category, individually or in bulk.

Add new records to your categories

Creating an item means adding a new record within a category. The item will be filled with the fields defined in the category form, such as name, date, values, responsible parties, and any other configured field.


How to create an item

Access the desired category

In the side menu, expand Member > Categories and select the category.

Click the Create button

At the top of the items table, click the Create + button.

Fill out the form

The creation form will open. Required fields are indicated with a red asterisk. If the category has more than one form, you will be able to select which form to use.

Submit the item

Click Submit to save. The new item will be added to the items table.

It is possible to save a draft of the form before submitting. If you close the form without saving the draft, the entered data will be lost.


Form display mode

By default, the creation form opens in Sidebar mode. You can switch to Window (modal) mode through the settings icon (gear) in the toolbar.


Bulk creation

In addition to individual creation, it is possible to create multiple items at once by uploading a spreadsheet. The Bulk Actions modal (accessible through the gear icon in the toolbar) contains the Bulk Upload tab, where you:

  1. Select the target form.
  2. Click Download Template to get the spreadsheet in the correct format.
  3. Fill out the spreadsheet with the data and upload it.
  4. Optionally enable Ignore Flow if you do not want automatic flows to be triggered for the created items.

Creation forms

The fields displayed in the form depend on the category configuration. Each category can have multiple forms, each with a different set of fields — allowing the same type of data to be created with different information depending on the context.

If the category has public forms enabled, items can also be created by external users through the public form.

Flows after creation

If the category has a flow configured with a creation trigger, the flow will start automatically when saving the item. This may generate tasks, send notifications, or execute other actions defined in the flow.

The automatic start of the flow does not generate immediate visual feedback on the creation screen. To monitor execution, access the Spaceflows screen.
