Create categories and configure their components: fields, forms, flows, reports, and more.

Model your workspace data structure

Categories are the fundamental building blocks of ENSPACE organization. Each category represents a type of data in your business—such as contracts, clients, projects, or service requests. Within categories, you define how information is structured, displayed, validated, and processed.

To access the configuration, navigate to Settings > Structure > Categories in the side menu.


How to create a category

Access the Categories screen

In the side menu, go to Settings > Structure > Categories.

Click Create

The creation form will open.

Fill in the details

  • Name (required) — the name that identifies the category.
  • Description — optional text describing the purpose of the category.
  • Icon — icon for visual identification.
  • Automatic menu — when enabled, adds the category to the Categories menu in the workspace sidebar. If disabled, the category can still be accessed via direct URL or from the Home screen (if the "Show Categories" option is enabled in Basic Information).

Save

Click Save to finish.


Permissions after creation

By default, every new category is created with no permissions granted, following the workspace’s minimum access policy. Members with an Owner license have unrestricted access automatically.

For other members, the system checks whether the creator has permission to configure access (being a Full member, having a role assigned, or having permission to edit roles). If so, a modal will be displayed allowing selection of available actions: View, Create, Update, and Delete.

If the creator does not have permission, the system will confirm that the category was created successfully but will require an administrator to configure permissions.

Permissions can be changed at any time in Member Management > Roles. For more details, see Roles and Permissions.


Rename and delete

You can rename a category at any time. The technical reference (slug) is not changed when renaming.

Deleting a category permanently removes all associated items, fields, forms, and configurations. Only members with delete permission or an Owner license can perform this action.


Category components

When accessing a category, you will find the following configuration components:

  • Fields — define the properties and format of the category data. Each field has a type (text, number, selection, relationship, etc.) and can be configured with rules, conditions, and events.
  • Forms — group fields to create data entry interfaces. They help organize the input experience and style field presentation.
  • Flow — defines the workflow linked to the item lifecycle, including stages, tasks, transitions, and triggers.
  • View Folders — organize fields into thematic tabs in the item’s dedicated screen.
  • Reports — configure reports and data analysis for the category.
  • Conditionals — define reusable rules for validation and data automation.
  • Document Templates — configure templates for automatic document generation based on data.
  • Notifications — define automatic alerts and notifications for category items.
  • Responsibility Rules — configure automatic assignment of responsible members.
  • Scheduled Executions — schedule automatic execution of actions on items.
  • Status — define custom states for use in category flows.
  • Monetary Adjustment — configure monetary correction rules for monetary value fields, including the integrated calculator.
