Customize workspace task notifications

The Notifications tab, within Settings > System, allows you to replace native task notifications with custom email rules.

By default, ENSPACE sends three email notifications when a task has a defined deadline: 1 day before the due date, on the due date, and 1 day after. When custom notifications are enabled, these three native notifications are disabled and only the rules you configure will be applied.

Attention
If you enable custom notifications and do not configure any rules, no notifications will be sent. Make sure to create at least one rule before saving.

Screen structure

The tab is divided into two sections, each dedicated to a type of task:

  • Spaceflow Notifications — rules for quick tasks generated by Spaceflows.
  • Scheduled Task Notifications — rules for tasks generated by category flows.

Each section works independently. You can enable custom notifications for one type without affecting the other.

Each section includes:

  • Activation toggle — enables or disables custom notifications for that type of task.
  • Rules list — displays the configured rules.
  • Add button — creates a new rule.

Creating a notification rule

Expand the desired section

Choose between Spaceflow Notifications or Scheduled Task Notifications.

Enable custom notifications

Turn on the Enable custom notifications toggle (if it is not already active).

Click Add

The configuration modal will open.

Configure the rule

Fill in the fields:

  • When to notify — the time relative to the due date. Use a negative number for before (e.g., -1 = 1 day before) and a positive number for after (e.g., 2 = 2 days after the due date).
  • Time unit — Minute(s), Hour(s), Day(s), or Week(s).
  • Email template — select a previously configured email template in the Emails section. Templates accept variables to include dynamic data such as task name, deadline, and assignee.

Save the rule

Click Save. The rule will be added to the list.

You can add as many rules as needed — for example, one notification 1 day before the due date and another 2 hours after.

Notifications are sent by email to the task assignee.
