Preparing the Signature Flow

  1. Create a task of type Confirmation.
    • Enable the "Generate PDF" button.
    • Then, enable the "Generate Document From Field" button.
    • In the "Document Field", select the field where the document is stored.
    • Optionally, you can:
      • Attach a standard PDF to generated documents.
      • Insert a watermark.
  2. In your flow, add a Task of type "Use Integration" and select the DocuSign integration.
  3. After selecting the integration, the following fields will be available:
  • DocuSign Actions: select the option "Send for Signature".
  • Document Source: define if the document to be signed comes from a specific field or from the item document.
    • If you select "Item Document", you will need to fill in:
      • Document Title
      • Signers Field
    • If you select "Field", meaning you will use a document from an OnlyOffice-type field, you need to fill in:
      • Document Field: select a field of type "File Editor" that contains the document to be sent.
      • Document Title: define the file name. You can use dynamic expressions.
      • Signers Field: use a repeater-type field that must be created previously in the flow.

    Structure of the Signers Field:

The repeater field must contain the following subfields:

    • Name (text type): name of the signer.
    • Email (text type with email mask): email address of the signer.
    • Action (selection type): defines the role of the participant in the signing process.

The values must exactly match the ones below (labels can be free, but values must be identical):

    • signers: Document signer.
    • witnesses: Signature witness.
    • configurator: Pre-configurator of the document.
    • carbonCopies: Receives a copy of the document.
    • certifiedDeliveries: Receives delivery with certified confirmation.
    • formFillers: Fills form fields.
    • agents: Represents another person in the process.
    • intermediaries: Acts as intermediary in the flow.
    • viewers: Only views the document.
    • approvers: Approves the content without signing.
    • accepters: Accepts terms without signature.
    • editors: Can edit signature data.
    • Order (number type): signing order.

⚠️ The configurator is a technical pre-control role and is not part of the signature flow. If this user needs to sign or be a witness, they must be specifically included in those roles.

Finalizing

  1. With your tasks created, simply add the signers field and the document field to a form. Make sure this form is filled before PDF generation and signing.
  2. You can now test.
