List Records
Allows the agent to search and list records from a category, with filters by status, date, assignee, and other fields.
When to enable this tool
Use this tool whenever the user wants to view, list, or search records in the workspace.
Practical examples:
- "Show me the open cases for client John Smith"
- "Which contracts expire this month?"
- "List the high-priority tickets still open"
- "How many records do we have in the Clients category?"
What the agent can do
- List records from any workspace category
- Search by keyword in record content
- Filter by any field: status, date, name, value, assignee, etc.
- Paginate results (showing one block at a time)
- See whether a record is a draft or published
Information the agent uses

| Category | Which category to search records in |
| Filters | Optional: status, date, name, any category field |
| Text search | Optional: keyword to find records |
| Limit | How many records to display at once (default: 10, maximum: 100) |
Important notes
- Returns a maximum of 100 records per query — for large volumes, the agent paginates results
- Text search only covers indexed fields and may not cover all custom fields
- It is not possible to combine data from different categories in a single search
