Track tasks generated by your flows

Scheduled Tasks are tasks automatically generated by workflows — the flows configured within workspace categories. Unlike quick tasks, they are not created manually: they arise as a result of a flow execution.

This screen allows you to track the progress of these tasks, check assignees, deadlines, and identify which step of the flow each task is in.

The Scheduled Tasks screen

The screen displays tasks in a table format, with the following main columns:

  • Actions — available options for the task.
  • ID — numeric identifier of the task.
  • Task Status — detailed execution status.
  • SLA Status — indicates whether the task is within or outside the defined deadline for that flow step. SLA (Service Level Agreement) is the maximum expected time for completion.
  • Assignees — assigned members (supports multiple assignees).
  • Item Reference — the code of the item that originated the task.
  • Flow Step — which step of the workflow the task is in.

How to access the Item linked to the Task

Tasks generated by the flow include a direct shortcut to the source item, allowing you to check complete process data without losing the task context.

Access Scheduled Tasks

In the side menu, expand the Tasks section and click Scheduled.

Open task details

Locate the desired task, click the Actions button and select Details.

Within the side panel, click the Items tab.

Access the original item

Click the Access Item button. You will be redirected to the screen of the item that originated the task.

Filters and views

The screen includes pre-applied filters to optimize your workflow. By default, the following are displayed:

  • Open Tasks — only what still requires action.
  • My Responsibility — filters tasks where you are one of the assignees.
  • Internal Tasks — displays only tasks from your workspace.
In the top right corner, use the date filter to analyze productivity history from previous cycles (e.g., last 30 or 90 days).

You can also create custom views by clicking + New View, fixing the filters and columns that make the most sense for your operation.
